1. Creating a New Role
Before adding a new Admin or user, you must ensure a Role exists with the correct permissions. This ensures that every user has the appropriate level of access to the system modules.
Steps to Create/Manage Roles:
Navigate to the Setting menu on the left sidebar.
Select Role and permission.
To add a new role, click the + (Plus) icon located at the top right of the table.
In the Edit Role screen:
Role Name: Enter a descriptive name (e.g., "Senior Admin" or "Site Manager").
Assign Permissions: Check the boxes for the specific modules the role should access. You can use Select All for full access or pick specific actions like View, Create, Edit, or Delete.
Click Update or Create to save the role.
2. Creating a New User (Admin)
Once the Role is ready, you can proceed to create the individual user account.
Steps to Create a User:
On the left sidebar, click on the People dropdown and select RWS Users.
Click the Create button (or navigate to the Create User screen).
Fill in the following required fields:
Name: Enter the full name of the user.
Email: Provide a valid corporate email address (this will be used for activation).
Contact: Enter the phone number.
Role: Select the role you created in the previous section from the dropdown menu.
Designation: Select or enter the user's official job title.
(Optional) Click Change Image to upload a profile photo.
Click the Create button at the bottom right.
3. Account Activation & Security
After clicking Create, the system automatically triggers an activation process to secure the account.
Activation Email
Delivery: An automated email containing an activation link will be sent to the user's provided email address.
Important: If the email does not appear in the Inbox within a few minutes, please advise the user to check their Junk or Spam folder.
Expiry: The activation link is valid for 24 hours only. If it expires, the Admin must trigger a password reset or recreate the user.
Password Policy
When the user clicks the link, they will be prompted to set a password. The password must meet the following criteria:
Minimum Length: 8 characters.
Complexity: Must be Alphanumeric (contain both letters and numbers) and include at least one Symbol.
Note on Restricted Characters For system security, the following symbols are NOT allowed in passwords:
(Space),"(Double Quote),'(Single Quote),\(Backslash),<(Less Than),>(Greater Than), and;(Semicolon).
