User Guide: How to Add a New Client

Objective: This guide outlines the steps to create and register a new client profile within the Rakanworks system.

1. Navigate to the Client Listing

To begin, ensure you are on the Manage clients > Client Listing page.

  • Locate the action buttons in the top right corner of the screen.

  • Click the purple Add button.

2. Upload Client Profile Photo (Optional)

At the top of the Add New Client page, you can upload a logo or photo for the client.

  • Click the UPLOAD NEW PHOTO button.

  • Note: The system accepts JPG, JPEG, PNG, and WEBP formats. The maximum file size is 5MB.

  • If you need to remove a selected photo, click the Reset button.

3. Fill in Client Information

Enter the client's details into the respective fields. Fields marked with distinct labels usually require mandatory input.

A. General Details

  • Name: Enter the full company or individual name of the client.

  • Register Number: Input the business registration number (e.g., SSM number).

  • Account Manager: Click the dropdown menu to select the internal manager responsible for this client.

  • Email & Contact: Enter the primary email address and contact phone number.

B. Address Details

  • Address 1, 2, & 3: Enter the street address lines.

  • Country, State, City: Use the dropdown menus to select the location details.

  • Postcode: Enter the postal code.

C. Agreement & Contract Details

  • Agreement Date: Select the date the contract was signed.

  • Commencement Date: Select the date the service or contract begins.

  • Agreement Copy: Click Choose file to upload a digital copy of the contract (PDF/Image) for record-keeping.

4. Set Client Status

Before saving, check the STATUS toggle located at the very top right of the page.

  • Toggle On (Blue/Right): The client is Active.

  • Toggle Off (Grey/Left): The client is Inactive.

5. Add Remarks and Save

  • Remark: Use the text box at the bottom to add any internal notes or specific instructions regarding this client.

  • Once all information is verified, click the purple Save button in the bottom right corner to finish.

  • If you wish to cancel, click Back.
