USER GUIDE: TIMESHEET SCHEDULE SETUP

This guide details the functionalities of the Timesheet Schedule Setup module, enabling users to efficiently manage employee work schedules. There are three primary methods for modifying timesheets: bulk editing via a system-generated template, importing a pre-formatted file, or making direct on-screen edits.

METHOD 1: BULK EDITING VIA EXCEL DOWNLOAD/UPLOAD

This method is ideal for setting up or modifying schedules for multiple employees over a specific period.

1. SET PARAMETERS:

  • CHOOSE JOBSITE: Select the specific jobsite you wish to configure.
  • PERIOD: Define the start and end dates for the schedule you are editing.

 2. DOWNLOAD TEMPLATE:

  • Click the green “Download Template” button.
  • The system will generate an .xlsx file. This template is pre-populated with all staff assigned to the selected jobsite and includes a sample data row for the first staff member to guide you.

 3. EDIT THE EXCEL FILE:

  • Open the downloaded file.
  • Modify the schedule as needed. You can update shift times (e.g., in the “FROM” and “TO” columns) or update the day’s status code (e.g., “WD” for Work Day, “OD” for OFF DAY).

 4. UPLOAD THE FILE:

  • Return to the application and click “Choose File” next to the “UPLOAD EXCEL TEMPLATE” field.
  • Select your edited Excel file. The system will process the file and update the schedule grid on your screen.

METHOD 2: IMPORTING A PRE-FORMATTED EXCEL FILE

If you already have an Excel file prepared with the correct formatting, you can import it directly.

FORMAT REQUIREMENT: The system relies on specific data keys to map the information correctly. Your file must contain the correct Employee ID and Jobsite UUID for each entry.

ACTION:

  1. Ensure your file meets the required format.
  2. Click “Choose File” next to “UPLOAD EXCEL TEMPLATE” and select your file to import the data.

METHOD 3: DIRECT ON-SCREEN EDITING (MULTI-SELECT)

This method is designed for making quick, minor adjustments to one or more cells directly in the web interface.

1. SELECT CELLS:

  • Adjacent Cells: Click and hold the mouse button on the first cell, then drag your cursor across all desired cells to select a range.
  • Non-Adjacent Cells: Hold the Ctrl key on your keyboard and click on each individual cell you wish to modify.

2. EDIT SELECTION:

  • Once your cells are highlighted, click the “Edit selected cells” button (located at the top-right of the schedule grid).
  • A pop-up window (“Edit Day Schedule”) will appear.
  • Set the new “FROM” time, “TO” time, or “HAVE OT” (Overtime) status as needed.
  • Click “Save” to apply the changes to all selected cells.

FINAL STEP: SAVING ALL CHANGES

After using any of the methods above, your changes are displayed on the screen but are not yet finalized.

IMPORTANT: To permanently save all modifications to the database, you must click the purple “Save Timesheet” button located at the bottom of the page.
